How pricing really works

The models matter more than the headline price. Zapier counts tasks, so an automation with five steps running 1,000 times uses many tasks. Make counts operations in a similar way. n8n's cloud plans count whole workflow executions regardless of the number of steps, and the self-hosted version can run on a small server you control. For high-volume or many-step automations, n8n is usually the cheapest to run; for a handful of simple automations, Zapier's convenience often wins. A worked example: following up a new lead

Here is what a typical lead follow-up automation does, step by step. The same flow can be built in any of the three tools:

  1. Trigger: a new lead arrives from a Facebook lead form, your website or a property portal email.
  2. Clean up: the phone number is formatted with the country code, and duplicates are checked against your sheet or CRM.
  3. Qualify: an AI step reads the message and tags the lead — budget, location, urgency — and gives it a score.
  4. Reply: a WhatsApp template message goes out within a minute, with a link to book a call or visit.
  5. Alert: hot leads are sent to the right salesperson's WhatsApp with a one-line summary.
  6. Follow up: if there is no reply in two days, a polite reminder goes out; after that, the lead is marked for a manual call.

In Zapier this is one Zap with several steps. In Make it is a scenario with a router for hot and cold leads. In n8n it is one workflow, often with the AI scoring done by an agent node. The business result is the same: no lead waits hours for a reply.

Tips before you automate

  1. Write the current process down step by step. If you cannot describe it, do not automate it yet.
  2. Start with one automation that saves the most hours, and measure the time saved.
  3. Add error alerts so you know when something fails.
  4. Keep a human approval step wherever money moves.
