A family looking for a 2 BHK on Ghodbunder Road or in Kharghar will often enquire on two or three property portals and a Facebook ad in a single evening, and may reach several agents. The agent who replies first, with options that actually match, usually gets the site visit — and the site visit is where deals start. For most agents in Thane and Navi Mumbai, the problem is not the number of leads. It is what happens in the first hour, and in the two weeks after. Here is a simple system you can run with a phone, WhatsApp and a spreadsheet — and where software genuinely helps.
Know where your leads come from
| Source | How the lead arrives | What to do first |
|---|---|---|
| Property portals | An email, SMS or app alert with the buyer's name, number and the listing | Call quickly and send the listing details on WhatsApp |
| Facebook and Instagram lead ads | An instant form inside Meta's apps, collected in Meta or synced to a sheet or CRM | Sync automatically and qualify — the forms are quick to fill, so intent varies |
| Your own website | An enquiry form or WhatsApp button, with the property attached | Reply fastest — this buyer chose you |
| Referrals, walk-ins and calls | Phone or in person | Log them in the same place as every other lead |
Portals usually charge for subscription packages or listing plans; Meta charges for ads through an auction, based on impressions or results. Rates change, so check them before you renew. The number that matters most is the cost per site visit from each source.
Speed of reply: win the first hour
A buyer who enquires at 8 pm is still holding their phone. By the next morning they may have spoken to someone else and booked a visit. Speed alone does not close deals, but slowness loses them.
- Acknowledge every lead within minutes with a short WhatsApp message: who you are, the property they asked about, and when you will call.
- Call at reasonable hours. A lead that arrives late at night gets the instant message and a call the next morning — not a call at 11 pm.
- Give every lead an owner. In a team, a lead without a named person usually waits.
- Keep the basics ready to send for every property you market: location pin, photos, floor plan, price range and possession status.
WhatsApp follow-up that does not feel like spam
Most buyers do not book a visit after the first call. A polite, useful follow-up sequence keeps you in the conversation:
- Day 0: Thank them, share two or three matching options, and ask about budget, preferred area and when they plan to move.
- Day 1: A short call to understand the family's needs — schools, office commute, ready or under construction.
- Day 3: A video walkthrough or floor plan of the best match.
- Day 5: Offer two specific site-visit slots for the coming weekend.
- Day 10: New options, if there are any, or a price update.
- After that: Check in occasionally, and stop as soon as they ask you to.
Send only messages a buyer would find useful. To send business-initiated WhatsApp messages at scale, you need the WhatsApp Business API, approved message templates and the buyer's consent, and Meta charges per template message. Our WhatsApp chatbot guide explains how that works.
Score leads so you call the right people first
You cannot give every lead the same attention. A simple hot, warm or cold tag is enough to decide who gets called first:
| Signal | Hot | Warm | Cold |
|---|---|---|---|
| Budget | Matches the property or area | Slightly off | Far off or unknown |
| Timeline | Within three months | Three to twelve months | Just looking |
| Funds | Loan sanctioned or own funds ready | Loan being explored | Not discussed |
| Engagement | Asked for a site visit | Replies to messages | No reply |
AI can read an enquiry and the buyer's replies and suggest a tag, which saves time when leads arrive in large numbers. A person should still confirm it before deciding who gets a call first. Our AI for real estate page covers more ways AI helps property teams.
Booking the site visit
- Offer two specific slots ("Saturday 11 am or Sunday 4 pm") instead of asking "When are you free?".
- Send the location pin, the project name, who will meet them and where to park.
- Send a reminder the evening before and a short message on the morning of the visit.
- For under-construction projects, coordinate with the builder's sales office so someone is ready with the sample flat and the costing.
- Follow up the same day with the price sheet, the payment plan and answers to anything they asked.
A website where buyers filter properties and book visits themselves saves part of this work — our Real Estate Website template sends every enquiry to your WhatsApp.
A simple CRM: what it must track
Whether you use a Google Sheet or a proper CRM, every lead needs the same fields:
- Name, phone number and source.
- Budget, configuration (1, 2 or 3 BHK) and preferred areas — for example Thane West, Ghodbunder Road, Vashi, Kharghar, Panvel or Belapur.
- Ready-to-move or under-construction preference.
- Stage: new, contacted, visit booked, visited, negotiating, booked or lost.
- The next follow-up date and the person responsible.
- Notes from every call and visit.
A sheet works well for one or two people. Once you have a team, several projects or leads arriving from many sources, a CRM that shows the pipeline, reminds people about follow-ups and records site visits saves real time — and stops leads from disappearing when someone leaves. That is what our Real Estate CRM is built for.
What to automate, and what to keep personal
| Automate | Keep personal |
|---|---|
| Collecting leads from portals, ads and your website into one list | The first proper conversation with a serious buyer |
| An instant WhatsApp acknowledgement | Understanding the family's needs and worries |
| Site-visit reminders | The site visit itself |
| Follow-up reminders for your team | Price negotiation |
| A daily report of new leads and pending follow-ups | Difficult news, such as a possession delay |
Automation should make you faster and more consistent. It should never leave a buyer talking to a machine when they need a person. Our Lead Follow-up Automation handles the left-hand column so your team can focus on the right.
Compliance basics
- MahaRERA registration. Agents who sell or lease homes in MahaRERA-registered projects must themselves be registered with MahaRERA. Show your agent registration number on your website, ads and visiting cards, and show the project's registration details wherever MahaRERA requires them. Check MahaRERA's current rules on advertisements.
- Consent. Message only people who enquired, and stop when they ask.
- Personal data. Collect only what you need, keep your lead list secure, and never share or sell buyers' details. India's Digital Personal Data Protection Act applies to how you handle them.
Measure the numbers that matter
Every week, note: leads by source, how many were contacted within an hour, site visits booked, site visits done, and bookings. Then divide what you spend on each source by the site visits it produced. After a couple of months you will know which portal package or ad campaign is worth renewing — and which only looks busy.

Want every property lead followed up automatically?
See the lead follow-up templateFrequently asked questions
How quickly should I reply to a property lead?
Within minutes if you can, even if it is only an automatic WhatsApp acknowledgement followed by a call. Buyers often enquire with several agents at once.
Can I message portal and Facebook leads on WhatsApp?
Yes, if they enquired and agreed to be contacted. For automated or bulk messages, use the WhatsApp Business API with approved templates; Meta charges per template message, so check the current rates.
Is a Google Sheet enough, or do I need a CRM?
A sheet is fine for one or two people. A CRM helps once you have a team, several projects or many lead sources, because it keeps follow-ups, site visits and history in one place.
What does a lead follow-up system cost?
Our Lead Follow-up Automation template starts at ₹14,999, the Real Estate Website template at ₹29,999 and the Real Estate CRM at ₹99,999.
Prices and third-party fees in this article are typical ranges or our own published prices as of 6 Oct 2026. Platform and provider fees change — always confirm current rates before you decide.
